Documents list

  1. Click Documents > Documents to see a list of all possible documents.
  2. Start typing in the search bar to filter the list or search for a specific document/s, e.g. by name, document type, tag or whether it’s public.
  3. NB. If a document is public it is available to all users in the My Documents menu of the Fieldworker app (regardless of the document tags specified in the User Access tab of their Fieldworker details).
  4. Click ˅ or ˄ at the top of any column to sort the list alphabetically (or numerically, depending on the column) in ascending or descending order.
  5. Click the Copy Link button under a document attachment to open a popup showing the URL address of the attachment. Click on the clipboard icon to copy the URL to your clipboard so you can paste it somewhere else. Click Dismiss when you’re finished.
  6. Click the email document button next to a document in the list to email the document file attachment.
  7. Click the  Edit button next to a document to see the details for that document.

Email a Document

  1. Click Documents > Documents to see a list of all possible documents.
  2. Click the email document button.
  3. You will see a popup email window.
  4. Enter one or more email addresses in the To box, with a comma in between each email address if more than one.
  5. Enter an email address in the Reply-to box. This is where any replies to this email will be sent.
  6. Enter an email subject and message to send with the attached document.
  7. Enter a message in the body 
  8. Click send 

Edit a Document

  1. Click Documents > Documents > Edit (blue button next to a document in the document list) to view and/or update details for an existing document.
  2. Change the document name. This will appear in the drop-down list of documents in other Dashboard screens.
  3. Click to select a different document type from the drop-down list:
  4. No Expiry – The document does not require expiry alerts.
  5. Date Expiry – The document requires date-based expiry alerts, For example, annual registration renewal.
  6. Number Expiry – The document requires number-based expiry alerts. For example, 1000 km service, or 1000 operating hours service.
  7. Date and Number Expiry – The document requires either date or number-based expiry alerts, whichever comes first. For example, 10,000 km service, or 30/Jun, whichever comes first.
  8. Attachment – Generic document attachment that is visible globally.
  9. Add or remove one or more document tags (optional) from the drop-down list. Click and select from the drop-down list to add, or click the X to remove.
  10. Click on the Public toggle switch to change the document from non-public (white) to public (blue), and vice versa. If a document is public it is available to all users in the My Documents menu of the Fieldworker app (regardless of the document tags specified in the User Access tab of their Fieldworker details).

Delete a Document

If you delete a document it will be removed from the documents lists permanently and it will also be removed from any clients, projects, assets or suppliers that use that document. Deleted documents are no longer available to select in document drop-down lists in other Dashboard screens.

  1. Click Documents > Documents > Delete (red button next to a document in the document list).
  2. You will see a message asking “Are you sure you want to delete [document name]?” Click OK (or cancel if you’re not sure).
