How to start a collaborative form

Collaborative forms are currently available through allocations.

Starting a collaborative form is no different to a non-collaborative/private form linked to an allocation.

1. Navigate to the relevant allocation

2. Open the 'Forms' section

3. Select the form (e.g. "On Site Safety Check List" as per the screenshot below

4. Respond to questions in the form as you would in any other form

How to add responses to an existing collaborative form

If a collaborative form has already been started by another user, you can access the form through the allocation.

Note: A collaborative form will be accessible to any fieldworker who is allocated to work on the order within the same day.

1. Navigate to the relevant allocation

2. Open the 'Forms' section

3. Select the 'IN PROGRESS' tab

At this point, there are two different views.

- If no other user is editing the form, it will be unlocked.

- If another user is editing the form, it will be locked.

How to add responses to an unlocked collaborative form

If no other users are currently editing the form results, you will see the following:

1. In this case, open the form and add your responses as per usual.

How to add responses to a locked collaborative form

If another user is currently editing the form results, you will see the following:

1. In this case, you can open the form read-only mode.

Note the orange banner at the top of the form.

2. Click the orange banner to check if the form is still locked (i.e. in use)

How to lock a collaborative form

A form will automatically be locked as soon as a user makes changes to the form result. This means that all you need to do is respond to a question in a form to lock it.

How to unlock a collaborative form

There are 2 scenarios in which a form will be unlocked:

1. A user leaves a form

2. A user has a form open but is inactive for 10 minutes
